How we work

A path, not a project.

We don't drop in a tool and wish you luck. We walk your business through a deliberate journey: learning how you work, getting the foundations right, and solving each real problem with the smallest thing that does the job. And we treat security as the ground it all stands on.

Start with the problem, not the product

We build you the best fitting solution.

Most firms are incentivized to sell you the biggest build. We're the opposite. You never get an overengineered build, because we only ever build what the problem calls for. In practice, it starts with a solid foundation, then works a repeating loop:

The foundation

A shared, secure workspace

One modern place to work: easy collaboration, controlled access to information, and AI on hand.

The Vanguard BI loop

Map

Your goals, and how the work really flows today.

Streamline

Organize how information moves, and clear the hurdles.

Standardize

Set clear standards, and the dashboards each role needs.

Automate

Hand the repetitive parts to AI agents, as the work calls for it.

The four phases

However far you take it, the journey runs through the same four phases

  1. 01

    Understand

Get clear on the outcomes, then assess where you stand today.

  2. 02

    Secure & prepare

Lay the security foundation and ready your team for new tools and AI.

  3. 03

    Build

Put the foundation in place and build what the work needs, from apps and dashboards to AI agents.

  4. 04

    Run & improve

Train your team, roll out in pilots, and keep improving long after go-live.

  1. 01

    Understand

    Start with the outcomes.

Before we touch a system, we get clear on what you're actually trying to achieve: the work you want to feel easier, the decisions you need to make better, what success looks like six months out. Everything that follows is measured against this.

    Assess where you are.

Then we evaluate how you work today: your tools, your processes, what's working and what's holding people back. Now we know exactly what to build, fix, and connect.

  2. 02

    Secure & prepare

    Lay the security foundation.

We design and initialize your security infrastructure from the ground up: principle of least privilege, authentication groups, and permissions done properly. This isn't a final-step formality. It's the bedrock everything else sits on, and we get it right before we build on top of it.

    Bring the team with you.

Technology only transforms a business if people adopt it, and people adopt what makes their day easier. We handle change management early, preparing your team for new tools and habits, so the rollout lands instead of stalling. The best system in the world fails if no one wants to use it.

  3. 03

    Build

    Lay the foundation.

We set up Google Workspace so your team has one shared, AI-ready place to communicate and collaborate.

Add the apps and sites the work needs.

Simple, intuitive apps to capture and structure the work; a website when you need one, only as far up the progression as the work calls for.

    Connect everything.

We get your tools passing information between themselves, so people stop re-keying the same data and information flows on its own.

Organize the data and make it visible.

We bring your data together as one source of truth, agreeing shared definitions so everyone means the same thing by the same number, then build the dashboards that give a live view of the business.

Document what repeats, and automate it.

We capture repeatable processes as clear SOPs, standardize your company's knowledge into a bot your team can ask anything, and turn the right SOPs into AI agents that take the busywork off people's plates.

  4. 04

    Run & improve

    Train your team.

We get everyone confident using the new tools in their actual roles: not in the abstract, but in the work they do every day.

    Pilot and validate.

Before anything goes fully live, we confirm the dashboards are accurate and the agents behave as they should, with a human reviewing agent output until you trust it. We earn the confidence to hand work over; we don't assume it.

    Deploy.

We roll it out for real, with the foundation, training, and validation already in place. Going live is the calm part, because the groundwork is done.

    Support and keep improving.

We don't stop at go-live. We review what's working against the goals we set in Phase 1, keep your knowledge and SOPs growing, and add the next piece only when the work calls for it. The relationship compounds; some of ours span years.

Security underneath all of it

Notice that security wasn't a single step you could point to and check off. That's deliberate. Least privilege, authentication, and permissions are revisited at every phase: when we assess, when we connect systems, when we build agents, when we deploy. We'd rather build security into the foundation of every decision than treat it as a coat of paint at the end.
